Tag management

Create, rename and delete tags in one place; protect the tags the assistant uses and set a naming convention for your team.

Tags are the easiest way to group clients quickly: buyer, seller, tenant, hot lead, international buyer. The assistant adds tags at the end of a call too, and many automations run by watching these tags. The Settings → Tags page lets you manage every tag centrally.

Settings → Tags: tag list, search, new tag, rename and delete.
  1. Open Settings → Tags. Use the search box to find a tag quickly.
  2. For a new tag, click New Tag at the top right, type the name and save.
  3. To rename a tag, click the pencil icon on its row.
  4. To delete a tag, click the bin icon and confirm. The tag is removed from every client; the clients aren't deleted.

Heads up

Don't rename or delete these tags. If you rename hot-lead to hot, the assistant still adds hot-lead, but the automation that creates an agent task stops working. The do-not-call tag keeps the person out of outbound campaigns; deleting it creates legal risk. Tell your consultant first about any change.

Naming convention for office tags

Adding your own tags is fine. Suggest these rules to keep things tidy:

  • Lower case, hyphens instead of spaces: gated-site, near-metrobus.
  • No Turkish characters: kadikoy, besiktas, so everyone can type them the same way.
  • Keep it short: a tag isn't a sentence.
  • Use a prefix for groups such as area, development or source: area-kadikoy, dev-moda-residences, source-sahibinden.

Tip

For structured details such as budget, bedrooms or dates, use a custom field rather than a tag. Tags are for quick grouping.

Cleaning up messy tags

If you have several tags meaning the same thing (e.g. "kadıköy", "Kadikoy", "kadikoy"):

  1. In Contacts, filter by the old tag and select all clients.
  2. Add the correct tag with a bulk action. See Bulk actions.
  3. Go back to Settings → Tags and delete the old tag.

Before deleting, check whether the tag is used in a smart list or an automation.

Permission to create tags

Letting everyone create tags is the most common cause of mess. You can edit users' Tags permission under Roles and permissions and leave tag creation to one person.
