Email services
Send email from your own domain; add and verify SPF, DKIM and DMARC records, and collect client replies in the inbox.

Emails you send clients from the panel (appointment confirmations, listing details, a thank-you after a valuation) go through the Squaremeters email service by default. When you connect your own domain as a dedicated sending domain, emails go out under your agency's name, are less likely to land in spam, and client replies come straight into Conversations.
Before you start
- You need the Admin role.
- You need access to your domain's DNS. If you don't have it, work with whoever manages your website.
- Use a subdomain rather than your main domain (e.g.
mail.atlasemlak.com.tr). Your company mailboxes are then unaffected.
Note
At most agencies your consultant does this setup with you. The steps below help you understand the records and how verification works.
Add a dedicated sending domain
- Open Settings → Email Services.
- Click Add Domain and enter the subdomain you'll send from.
- The panel shows the DNS records you need to add. Copy each record's Type, Host and Value and create it exactly as shown at your DNS provider.
- Go back to the panel and click Verify. When every row is verified, the domain is ready.
DNS changes can take from a few minutes to 24–48 hours to propagate.
What do the DNS records do?
| Record | Type | Purpose |
|---|---|---|
| SPF | TXT | Allows the Squaremeters email service to send on your domain's behalf. |
| DKIM | TXT | Adds a digital signature to every email. |
| MX | MX | Lets client replies be received and land in Conversations. |
| Tracking | CNAME | Open and click tracking. |
| DMARC | TXT | Tells providers such as Gmail and Outlook what to do with email that fails checks. |
Important
A domain can only have one SPF record. Using a subdomain usually avoids clashes. Start DMARC with p=none; tighten it after a few weeks without problems.
Reply tracking
Once the MX record is verified, a client's reply to your email is added to their conversation and the assigned agent is notified. Don't use addresses like "noreply@"; clients being unable to reply costs trust.
Deliverability tips
- Warm up: send a small number of emails from a new domain at first and increase gradually.
- List hygiene: don't keep sending to addresses that bounce.
- Content: all-caps subject lines and phrases like "unmissable opportunity" trigger spam filters and don't fit our brand voice anyway.
- Consent: send promotional emails only to people with commercial message consent (İYS). See İYS and KVKK.
Common issues
Records still pending after Verify. DNS may still be propagating. Make sure you haven't entered your domain twice in the Host field; at some providers just mail is enough.
Client replies don't reach the inbox. Check the MX record.
Emails go to spam. Make sure SPF, DKIM and DMARC are all verified.
