Bulk actions
Tag, assign, add to a pipeline, merge, export or delete many contacts at once.

Instead of editing hundreds of contacts one by one, bulk actions update them in a single pass. Tagging 300 people from a property expo, handing a departing agent's customers to someone else, or clearing out test records takes a few clicks.
Running a bulk action
- Select contacts by ticking the boxes on the left. The header box selects everyone on the page; with a smart list open you also get an option to select the whole list.
- Choose the action from the bar that appears above the table. A window opens depending on the action.
Available actions

Note
The actions on the bar depend on your permissions; some appear as icons and show their name on hover. If you can't see an action, ask your office manager.
Adding contacts to an automation scenario in bulk (e.g. long-term nurture messages) is possible, but the scenario has to be set up correctly first; ask your consultant. See Nurture campaigns.
Example: bulk tagging
- Choose or type the tag to add.
- Give the action a recognisable name (e.g. Property expo – tag). It shows in the Bulk Actions history. Where offered, choose whether to process all at once or in batches.
- Confirm with Add Tag.
Tracking the history
Bulk actions run in the background; on large lists they can take a few minutes.
- On Contacts → Bulk Actions, click Show Stats on the action's row: see how many succeeded and failed, and download the error log if needed.
Where available, the row's menu lets you pause or cancel an action, or undo a bulk delete.
Heads up
Double-check your selection before a bulk delete or bulk reassignment. Safest approach: build the right list with a filter, check the count, then run the action.
When an agent leaves
- Filter with More Filters → Contact Owner = the departing agent and save as a smart list.
- Select all and use Assign to pick the new agent.
- Update conversation assignments too (Conversations → filter Assigned = the old agent). See Assigning and collaborating.
- Move open tasks to the new agent (Contacts → Tasks).
- If the assistant's routing rule includes the departing agent, tell your consultant so new leads stop going to them.
Tips
- Create a smart list before a bulk action; you can see later exactly who it covered.
- Run very large actions outside office hours.
