The contact detail page is a customer's file. Contact details, the property enquiry the assistant filled in, consent, tags, notes, tasks, appointments, opportunities and the full conversation history all live together. Anyone on the team should know the customer within ten seconds of opening it.
Opening the page
Click the contact's name in the Contacts table. You can also reach it from the contact panel in Conversations or from an opportunity card.
Sections of the page
- Contact details (left). Name, phone, email, owner, custom fields and tags. Click a field to edit it in place.
- Activity, tasks, notes, appointments (middle).
- Activity: the record's timeline: source (e.g. Inbound call · AI), tag changes, appointments, stage changes. Things the assistant did are marked ✦.
- Tasks: to-dos for this customer. See Tasks and notes.
- Notes: the assistant's call summaries and your team's notes.
- Appointments: past and upcoming viewings, valuations and office meetings.
- Conversation (right). Messages on every channel and the assistant's call cards. You can reply without leaving the page.
- Linked opportunity. The opportunity in the pipeline, its value and stage (e.g. Buyers → Appointment booked).
Note
The layout can change with updates; on some accounts sections appear in a different order or in collapsible panels. The content is the same.
Property enquiry, consent and DND
- Property enquiry. Enquiry type, budget, area, rooms, timing and listing of interest. The assistant fills these in from what it learns on the call; the ✦ mark shows a field written by the assistant. If the customer changes their mind (say, the budget goes up), update the field yourself. See Qualifying callers.
- Consent. Marketing consent (İYS) and Privacy notice (KVKK). Promotional messages and campaign calls only go to contacts with marketing consent.
- DND (Do Not Disturb). If the customer says "please stop calling / messaging me", turn DND on for the relevant channels or all channels. If the assistant hears this on a call, it adds the
do-not-calltag.
Important
Only record what the job needs in notes and fields. Don't store sensitive personal data such as debts, health or family matters. See Data privacy and KVKK.
Updating details
- Click any field in the left panel and change the value; it's saved.
- Fields appear in groups (Property enquiry, Consent). Our team creates the groups and fields during setup. See Custom fields.
- Contact Owner is the agent responsible for the customer. Reports and access restrictions work off this field.
Linked opportunity
- See the current opportunity in the opportunities section: the listing or enquiry, value and stage.
- Click it to change the stage or edit details.
- If the same person comes back for a new deal (e.g. they've sold and now want to buy), add a new opportunity.
