Record a walk-in, a referral or a customer who rang an agent's mobile, completely and without duplicates, in seconds.

Most records are created automatically from the assistant's calls and from messages. But a landlord who walks into the office, a seller referred by a friend, or a buyer who rang an agent's mobile need adding by hand. This article shows how to create a complete record without duplicates.

Enter phone numbers with the country code (+90…).

Add Contact panel: basic details, contact type, tags and save.
  1. On Contacts, click Add Contact in the top right.
  2. Enter the basics: First Name, Last Name, Phone and Email. Include the country code (+90 5…).
  3. Fill in Contact Type (usually Lead), Tags and the source. The tag puts the contact in the right lists: buyer, seller, tenant or landlord.
  4. Click Save. To add several in a row, use Save & Add Another.

The new contact appears in the table; click the name to open the detail page and start a conversation.

Heads up

Before adding, check with Quick search that the person isn't already on file. If they've called before, the assistant has already created their record; update it instead of creating a new one. See Duplicates and merging.

Once the basics are saved, fill in two field groups on the contact's detail page. They're the same fields the assistant fills in on calls, so manually added contacts land in the right lists and reports too.

If she has confirmed on a signed form that she'd like to hear about offers, turn marketing consent on.

Important

Only switch on marketing consent if the customer really gave it, and note how it was obtained. A verbal "sure" isn't sufficient evidence for commercial messages. See İYS and KVKK.

Which fields show on the form, and which are required, is set during onboarding; ask your consultant to change it. General field management: Custom fields.

Updating details from a conversation

If the customer messaged on WhatsApp, a record already exists but often has only a name and number. Fill in missing fields straight from the contact panel on the right of the conversation. See Inbox overview.

Common issues

"This phone number already exists". Duplicate protection is on. Find the existing contact and update it.

WhatsApp messages won't send. The number may have been saved without a country code or with a leading 0. Correct it to +90.
