Recommended custom fields
The standard "Property enquiry" and "Consent" field groups for an estate agency, their field types, and how the assistant fills them.
3 min read
After every call the assistant writes what it learned to the contact record. For that to be useful, the information has to go into the same fields, in the same format, every time. Only then can you pull a list like "buyers looking for a 3+1 in Kadıköy with a budget up to 15 million" in seconds. This guide covers the standard fields Squaremeters sets up for estate agencies.
Before you start
- Our team creates the custom fields during onboarding and links them to the assistant's post-call mapping.
- You can see them under Settings → Custom Fields. Only users with the Admin role can open this page.
- In the left menu, go to Settings, then Custom Fields.
- The Property enquiry folder holds the six fields the assistant fills in on every call.
- The Consent folder holds İYS and KVKK information.
The "Property enquiry" group
| Field | Type | Example | Why it matters |
|---|---|---|---|
| Enquiry type | Dropdown (Single): Buyer / Seller / Tenant / Landlord | Buyer | Drives the pipeline and agent routing. |
| Budget | Single Line | 13–15M ₺ | Listing matching and prioritising. |
| Area | Single Line | Kadıköy · Moda | Routing to the agent for that area. |
| Rooms | Dropdown (Single): 1+0 … 5+1 | 3+1 | Filters and smart lists. |
| Timing | Dropdown (Single): Now / 3 months / 6 months / 6 months+ | Within 3 months | Hot vs cold, follow-up frequency. |
| Listing of interest | Single Line | AT-1042 | Shows which listings attract enquiries. |
Tip
Dropdown fields are worth more than free text: "3+1", "3 + 1" and "three plus one" all break a filter. The option lists are set up for your office during onboarding.
The "Consent" group
| Field | Type | What it holds |
|---|---|---|
| İYS consent | Dropdown (Single) | Status of call and message consent (granted / refused / unknown). |
| KVKK notice | Date Picker (+ source note) | When and where the privacy notice was given (web form, lead form, in the office). |
Outbound campaigns check these fields and the contact's DND settings; anyone without consent isn't called. See İYS and KVKK.
Optional extra fields
Depending on your business, you can add these too. If you'd like the assistant to ask for them, tell your consultant.
| For | Fields |
|---|---|
| Sellers | Property type, m², floor, building age, title status (kat mülkiyeti / kat irtifakı / land), vacant or tenanted, working with another agency |
| Tenants | Number of occupants, pets, move-in date |
| Buyers | Property type, financing (cash / mortgage), gated-complex preference |
Heads up
Adding a field is easy, but every field needs looking after. Don't add fields nobody fills in and no report uses. A longer question list for the assistant also means longer calls.
How it looks on the contact record
- The assistant fills in the Property enquiry fields at the end of the call; the agent can correct them after a viewing.
- The Consent fields come from the form or the İYS record.
- Standard tags sit alongside the fields:
buyer,seller,tenant,landlord,hot-lead,international-buyer,transferred,no-answer,do-not-call. See Tags.
Fields vs tags
- A field holds a value: what the budget is, which area.
- A tag marks a state: is this person hot, were they transferred, have they asked not to be called.
Tags trigger automations; fields feed filters and reports. Don't mix them up: storing the budget as a tag (under-15m) turns into an unmanageable tag list within months.
