Navigation and search

What each left-menu module is for in an estate agency, global search to find a client in seconds, and the account switcher.

5 min read

Agents lose most time during the day finding the right screen and the right client. In this article we explain what each module in the left menu is for in an estate agency, how to reach a client in seconds with global search and, if you have more than one branch, how to switch between accounts.

The left menu: modules

You'll see ten modules in the left menu. Menu labels are in English in the panel, and this guide uses the same labels you see on screen.

ModuleWhat it's for in an estate agency

AutomationReady-made estate agency scenarios: WhatsApp confirmation after a viewing is booked, appointment reminders, follow-ups based on the call outcome, routing leads to agents. You can switch scenarios on or off and edit the message text. See Automations overview.
ConversationsThe shared inbox. The assistant's calls (recording, transcript, summary) plus WhatsApp, Instagram, Messenger, SMS and email messages, in one thread per person. See Inbox overview.
CalendarsViewings, valuations and office meetings. The assistant books appointments here. See Calendar overview.
ContactsBuyer, seller, tenant and landlord records, with tags, custom fields (budget, area, number of rooms), notes and tasks. See Contacts overview.
OpportunitiesPipeline boards showing sales, vendor/valuation and lettings deals stage by stage. See Opportunities overview.

Note

The left menu only shows modules your role can access. If you can't see a module, ask your office manager for access: Roles and permissions. Modules other than those listed here aren't included in your package.

When you know a caller's name, phone number or email, the global search in the top bar is the quickest route.

Global search: searching by the last digits of a phone number, with results grouped into Contacts, Opportunities and Conversations. The in-module search box on the right.
  1. Click the Search box in the top bar, or use the keyboard shortcut shown in the box (usually ⌘K on Mac, Ctrl+K on Windows).
  2. Type part of the name, the phone number or the email. Results are grouped into Contacts, Opportunities and Conversations; click a result to go straight to the record.
  3. Inside a module you can also use that module's own search box and filters (e.g. "Search contacts" in Contacts).

Tip

Callers may give their name differently on the phone, and the assistant writes it down as it hears it ("Ahmet D.", for example). If you can't find someone, search by phone number; it's the most reliable unique detail. Searching by the last four digits works too.

In-module search and filters

ScreenWhat it's for
Contacts filtersBuilding a list by tag, source or custom field (e.g. "Kadıköy + buyer + last 30 days"). Saved filters become a Smart List. See Smart lists.
Conversations filtersUnread, assigned to me, by channel (call, WhatsApp, Instagram…). See Filters and views.
Opportunities filtersFinding cards by pipeline, stage, assigned agent and status (Open/Won/Lost). See Views and filters.

The account switcher

Your office's name appears at the top of the left menu. If you have more than one branch, or a separately run off-plan sales office, and each was set up as a separate account, you switch between them here.

If you have a single office, you'll only see your own account here.
The list that opens when you click the account name at the top left: a search box and the accounts you can access.
  1. Click the account name at the top left.
  2. Search for the account by typing its name.
  3. Click the account you want. The panel reloads with that account's data.

Each account has its own assistant, phone number, listings, calendars and contacts; a client in one account doesn't appear in another. If you have a single office, you'll only see your own account in the list. If a new branch needs its own account, message your consultant.

Heads up

After switching accounts, check the name at the top left before doing anything. Adding a Beylikdüzü branch client to the Kadıköy account by mistake muddles your reports and the assistant's transfer setup.

Time-saving tips

  • Keep the inbox open: Keep Conversations open in one browser tab and do everything else in a second tab.
  • From the contact record to everywhere: From a client's record you can jump to their calls, opportunity, appointments and notes. See Contact detail page.
  • Bookmarks: Bookmark the address of a Smart List or pipeline view you use often.
  • Notifications: "Assigned to you" notifications under the bell show the hot leads the assistant has routed to you. To respond quickly, see Speed to lead.

Common issues

I can't find a client in search. If the client isn't assigned to you and your permissions only show your own records, they won't appear. See Restrict data access. Also check you're in the right account.

Our branch doesn't appear in the account list. Your user may not have been added to that account. Message your office manager or your consultant.
