Dashboard overview

Learn the dashboard selector, date range and widgets, and read the assistant's and the team's figures at a glance.

4 min read

The Dashboard is the first screen you see when you log in. It shows how your agency is doing at a glance: how many calls the assistant handled, how many viewings and valuations were booked, how many hot leads there are, and how much business is waiting in the pipeline. For the owner it's the weekly check; for an agent it's the daily to-do list.

Before you start

  • Your user needs Dashboard access. See Roles and permissions.
  • Widget figures are calculated from Contacts, Opportunities, Calendars and call records. The Squaremeters team sets up your agency's first dashboard during onboarding.

The Dashboard: dashboard selector, date range, edit and action menu, widgets below. Figures are examples.
  1. Dashboard selector: click the dashboard name at the top left to switch between your own dashboards and those shared with you. See Custom dashboards.
  2. Date range: sets the period every widget shows (today, last 7 days, this month, a custom range…). See Date ranges and filters.
  3. Edit mode (pencil icon): for adding, moving, resizing or deleting widgets. See Customise widgets.
  4. Action menu (three dots): clone, set as default, time zone, permissions and delete.
  5. Widgets: each box is one metric: a number, a donut chart, a bar chart or a table.

What does each figure tell you?

The metrics estate agencies use most:

MetricWhat it measuresWhat it means for the agency
Calls answered by the assistantInbound calls the assistant handled in the periodHow many calls weren't missed out of hours and at busy times.
Appointments bookedViewings, valuations and office meetings bookedHow well calls and chats turn into appointments.
Hot leadsContacts tagged hot-leadClients an agent should call today.
Open pipeline valueTotal value of open opportunitiesFees you can expect in the coming weeks.
Leads by sourceContacts split by sourceThe share coming from the assistant, Meta forms, WhatsApp/Instagram and the website.
Opportunities by stageOpportunities in each stageWhere clients get stuck (for example lots of viewings, few offers).
Missed calls recoveredMissed callers the assistant called back and reachedEnquiries won back that would otherwise have been lost.

The figures on your dashboard are your agency's real data; the numbers in the images are just examples.

Note

Call widgets and metrics such as "from the assistant" are set up for your agency during onboarding using conditions (source, tag, pipeline). If a metric you want isn't on your dashboard, message your consultant. For the assistant's detailed per-call figures, see the Dashboard & Logs tab under AI Agents → Voice AI, and Call reporting.

Clicking a widget lists the records behind the number.
  1. Click a widget.
  2. See the contacts or opportunities that make up that number, one by one.
  3. Export the list if you need to.

If it says "23 hot leads", this is where you see who they are and which agent they're assigned to.

Using the Dashboard day to day

  • Monday morning (broker): set the range to Last 7 Days. Compare calls answered by the assistant, appointments booked and lead sources with the previous week.
  • Every morning (agent): check your hot leads and today's appointments on your own dashboard.
  • Month end (owner): share completed deals and open pipeline value for Last Month at the team meeting.

For which figures to track, see Owner KPIs.

Important

The figures are only as good as the team's habit of keeping opportunity stages and appointment statuses up to date. If a completed sale isn't marked Won, the Dashboard can't see it; if a viewing isn't marked Showed, your show rate will be wrong.

Troubleshooting

Widgets are empty. Widen the date range and check there's data in the relevant module.

A colleague sees different figures. If a user is restricted to records assigned to them, widgets only count those records. See Restrict data access.

I can't change the dashboard. You may only have View access to it.
