Custom dashboards
Create separate dashboards for the broker, agents and assistant performance; share them, set permissions and make one your default.
3 min read
One dashboard can't serve everyone. The owner wants pipeline value and completed deals, the broker wants to see what the assistant brings in, and an agent wants their own clients. You can create as many dashboards as you like and decide who can see and edit each one.
Before you start
- You need Dashboard access to create a dashboard.
- To share a dashboard with others, you must own it or have Full access.
Switch between dashboards
Click the dashboard name at the top left to open the selector:
- My Dashboards: dashboards you created.
- Shared With Me: dashboards others have shared with you.
- Pin icon: keeps dashboards you use often at the top of the list.
- Search for a dashboard: finds a dashboard by name.
Create a new dashboard
- Open the dashboard selector at the top left.
- Click + Add Dashboard at the bottom of the menu.
- Choose how to start: Create a Blank Dashboard, From Template Library or Clone Existing Dashboard. Cloning the office dashboard and trimming it down is the quickest route.
- Give it a clear name, for example "Selin – daily", "Broker KPIs", "Assistant performance".
- Turn on Private Dashboard if only you should see it.
- If it isn't private, set access by role: Full, Edit, View or No Access for Account Admin and Account User.
- Click Save, then add widgets: Customise widgets.
Access levels
| Level | What they can do |
|---|---|
| Full | View, edit, change permissions and delete. |
| Edit | View, add and edit widgets. |
| View | View only; can change the date range and filters on their own screen. |
| No Access | Can't see the dashboard. |
Note
Dashboard access isn't access to the data itself. An agent who can only see contacts assigned to them will only see figures for their own records on a shared dashboard too. See Restrict data access.
Manage a dashboard
- Click the three dots at the top right of the dashboard.
- Use Set as default dashboard to make this the dashboard you see whenever you open the Dashboard.
- Use Manage permissions to change access levels later.
Other options in the menu:
- Clone: creates a copy of the dashboard.
- Manage dashboard timezone: sets the time zone figures are calculated in. If your agency is in Turkey, choose Europe/Istanbul; otherwise calls close to midnight may be counted on the wrong day.
- Delete: deletes the dashboard permanently, for everyone who can see it.
A suggested set of dashboards
| Dashboard | Who for | Example widgets |
|---|---|---|
| Office overview | Everyone | Calls answered by the assistant, appointments booked, hot leads, open pipeline value |
| Broker KPIs | Owner, broker | Completed deals, lost reasons, appointments by agent, lead sources |
| Assistant performance | Broker | Opportunities from the assistant, out-of-hours calls, missed calls recovered |
| Agent – daily | Each agent | My hot leads, my viewings today, my deals by stage |
For which figures to track, see Owner KPIs.
Troubleshooting
A colleague can't see a dashboard I shared. It may be Private, or their role may be set to No Access. Check Manage permissions.
Did the default dashboard change for everyone? No. Set as default dashboard only changes your own landing dashboard.
