Call reporting
Track inbound and outbound calls, calls handled by the assistant, missed calls and call sources in Call Reporting.

Call Reporting shows your office line's phone traffic: how many calls came in, how many were answered, how many were missed, where calls come from and how many outbound calls your team made. In estate agency, a buyer whose call goes unanswered usually rings the next listing. This report makes those lost opportunities visible.
With the assistant on the line, the picture changes: it also answers calls out of hours and when the line is busy. This report is the easiest way to see where the calls you used to lose now go.
Before you start
- The report only covers calls that go through the Squaremeters phone system. For how your office line is forwarded to the assistant: Phone numbers and forwarding.
- Calls agents make from their personal mobiles don't appear.
- Your user needs reporting access: Roles and permissions.
Reading the report
- Open Reporting → Call Reporting and choose Incoming Calls or Outgoing Calls.
- If you have more than one number, pick one from the number filter or keep All numbers.
- Review individual calls in the list below: contact, status, duration, who answered and the recording.
What's on the screen

Section names may vary slightly as the interface is updated.
Where are the assistant's calls?
- Calls the assistant answered go through your line, so they also appear in the call list. The outcome (booking, transfer, qualification) and summary are in AI Agents → Voice AI → Dashboard & Logs: Call logs and summaries.
- Calls the team answered, including calls the assistant transferred live, are listed with the user who answered. How transfers work: Live transfer.
- Missed calls are far fewer now. The rest are usually hidden numbers, callers who hung up while ringing, or calls at times the assistant wasn't active.
Tip
Every morning, filter yesterday's Missed calls and return them the same day. Also check the "call back" tasks the assistant creates after calls in Tasks and notes. The full method: Missed call recovery.
Outbound calls
The Outgoing Calls view lists outbound calls made by your team and the assistant. For the assistant's outbound campaigns (new lead call-back, appointment confirmation, reactivation), you'll find reached, unreached and booked numbers in more detail under Dashboard & Logs → Outbound: Outbound campaigns.
A tip for tracking sources
To see clearly which channel calls come from, use a different number on each channel: one on your website, another on your Google Business Profile. The number filter then shows each channel's calls separately. For an extra number, ask your consultant; see Phone system.
Example
Before the assistant, Atlas Emlak missed 47 of 214 inbound calls in a month — most of them after 7pm and at weekends. The month after the assistant went live, missed calls drop to 9. In the list you see the calls Elif answered on those evenings, and in Dashboard & Logs you read that 11 of them turned into viewing appointments.
Common issues
The report is empty. Calls may be going through a number other than your Squaremeters number, or the date range is wrong.
No recordings. Recording may be off, or the call was very short. If you record calls, you must tell callers: Data privacy and KVKK.
The assistant's booking count isn't here. Call Reporting shows call traffic; call outcomes are on the Voice AI screen.
