Agent report
Compare your agents' opportunities, closed deals, messages and calls in Agent Reporting, and read the assistant's share separately.

Agent Reporting shows how much work each user on your team does and what results they get. Use it to share leads fairly, spread your best agent's methods across the team and spot early who needs coaching.
When the assistant handles first contact and qualification, your agents' work changes: fewer phone calls, more viewings and closing. Read the report with that in mind.
Before you start
- The report counts records assigned to a user. If opportunities and conversations aren't assigned, that work counts for nobody. For the assistant to route leads to the right agent: Lead routing and tasks.
- Closed deals must be marked Won with a value.
- You can limit agents to seeing their own data: Roles and permissions.
Reading the report
- Open Reporting → Agent Reporting. Pick the whole team or one agent from the user selector, and set the date range at the top right.
- The team overview shows opportunities, closed deals, conversion rate, messages sent and calls.
- The Leaderboard compares the agents with the most opportunities and the most deals closed.
What's in the report
| Group | Example metrics |
|---|---|
| Opportunities | Created, open, won and lost opportunities; value won. |
| Conversion | Opportunity to closed deal rate. |
| Messages | Messages sent and received. |
| Emails sent. | |
| Calls | Inbound and outbound calls, talk time. |
Compare with the previous period to see whether an agent's performance has changed. Metric names may vary slightly between interface versions.
The assistant and the team together
The assistant's calls, bookings and transfers are not in this report; they're in AI Agents → Voice AI → Dashboard & Logs. Agents' numbers come from Agent Reporting. Put the two side by side in your monthly review.
As you read it:
- Hot leads the assistant transferred are assigned to an agent; check how many of those opportunities closed. If few did, follow-up after the transfer is weak.
- An agent's outbound call count has dropped? Not necessarily bad news — the assistant may be making first calls. What matters is viewings and deals closed.
- Tasks opened but not closed: if the assistant's "call back" tasks sit waiting, the client goes cold. See Tasks and notes.
Where's response time?
Agent Reporting doesn't show first response time. For "time to first contact" — one of the most important numbers in estate agency:
- If the assistant runs outbound calls, you'll see time to first contact under Dashboard & Logs → Outbound.
- For written channels (WhatsApp, Instagram), track response time with Dashboard widgets; if your plan doesn't include that widget, check 10 new conversations by hand once a week.
The target and the method: Speed to lead.
Heads up
Don't use the agent report as a disciplinary tool on its own. An agent who calls a lot but closes little may simply be getting weaker leads. Read the numbers alongside source and area.
Example
Emre Yılmaz closed 3 deals from 64 opportunities, Selin Kaya 4 from 58. Her notes show that after every viewing she sends a short WhatsApp recap and two alternative listings the same day. The office makes this the standard follow-up for everyone: Follow-up by call outcome.
Common issues
An agent shows zero. Opportunities aren't assigned to them, or they log in with a different user.
The assistant isn't listed as a user. Correct — its numbers are on the Voice AI screen.
