Custom reports
Build a report with your own numbers, pick data sources and chart types, and email it automatically on a schedule.
3 min read
Custom Reports gather the numbers you need on one page, as a PDF download or a scheduled email. Ideal for the owner who wants the week's summary every Monday morning without logging in, or for a monthly report to partners or a developer whose scheme you're selling.
Note
Dashboards are for day-to-day tracking inside the team and need a login. Custom reports are built for scheduled email and PDF; recipients don't need a panel account. For dashboards, see Custom dashboards.
Creating a new report
- Open Reporting → Custom Reports and click New Report.
- Start blank, from a ready template, or by turning an existing dashboard into a report, and give it a name.
Adding and editing widgets
The report editor has items to add on the left, the report page in the middle and the selected item's settings on the right.
- Add a widget (chart, table, text) with Add widget in the left panel.
- In the right panel, choose the widget's data source: e.g. Contacts, Opportunities, Appointments, Conversations or ad accounts.
- Choose the visualisation: bar, donut, line, number tile or table.
- Add filters — for example only "Paid Social" contacts, only the Buyers pipeline, or only the Valuation calendar.
- When it's ready, send or schedule it with Send or Schedule.
You can add several pages, reorder them by dragging, and put your agency logo on the cover. Use the logo file in Media Storage.
Scheduling and sharing
- In Send or Schedule, choose Schedule; set the frequency (daily, weekly, monthly), the send time and the date range the report covers.
- Enter the recipients' email addresses under Recipients and write a subject line. Check how it looks with Send test email first.
You can also download the report as a PDF at the top right and share it directly.
Heads up
In email and PDF, tables show a limited number of rows and drill-down doesn't work. Use summary numbers rather than long contact lists. Don't put personal data such as clients' phone numbers in reports — they can be emailed outside the office.
A suggested weekly office report
| Widget | Data source | Visualisation |
|---|---|---|
| New leads by source | Contacts, First Attribution | Bar chart |
| Buyers: New enquiry → Appointment booked → Viewing done → Offer | Opportunities (pipeline stages) | Bar |
| Sellers: Valuation booked → Instruction signed | Opportunities (Sellers pipeline) | Number tiles |
| Viewings and valuations: booked, held, no-show | Appointments | Number tiles |
| Ad spend and CPL | Facebook / Google ads | Number tile + table |
| Deals closed by agent | Opportunities, assigned user | Table |
If you'd like the assistant's weekly calls and bookings in the report too, ask your consultant. For which metrics to track: Owner KPIs.
Common issues
No data in the report. Check the widget's date range and filters. On ad widgets, make sure the right ad account is selected.
A recipient didn't get the email. Check the spam folder; send a test email to yourself first.
