Media Storage overview
Keep listing photos, floor plans, brochures and office documents in one place with Media Storage, and use them across your team.
3 min read
Media Storage is your account's file space. Listing photos, floor plans, development brochures, video tours, blank agreement templates and office presentations live here. You organise files in folders and send them to clients in messages when needed.
Buyers often make half their decision before a viewing: they look at the photos, the floor plan, the service charge. Keeping these files tidy and easy to find stops agents leaving a client waiting while they "just find it and send it over".
The screen
- Open Media Storage from the left menu.
- Upload: upload files or folders from your computer. See Uploading and organising files.
- New Folder: creates a new folder where you are.
- Folders: the path (breadcrumb) at the top shows where you are; click a folder to open it.
- Search: searches files and folders by name. With a consistent naming rule, searching by listing code (
ATL-1042) is the fastest way.
The grid/list toggle shows photos large or documents with size and date. Button names and positions may vary slightly as the interface is updated.
What to store, and what to watch
| Store | Take care |
|---|---|
| Listing photos, video tours | Make sure the vendor's family photos, documents or number plates aren't visible. |
| Floor plans, site plans | Share development floor plans in the version the developer has approved. |
| Development and listing brochures | Separate files per language (_TR, _EN). |
| Blank agreement templates, office intro, logo | Add a version and date. |
| Agency agreements, title deed copies | Contain personal data. Keep them in a folder only the right people can access. |
| Don't store: unneeded ID copies, bank or card details | Not collecting data you don't need is a core KVKK principle. |
Important
Title deed copies, IDs and signed agency agreements are personal data. Before sharing them with a client or a third party, hide details such as names and ID numbers. See Storage best practices.
Where Media Storage is used
- Conversations: attach a file straight from Media Storage when writing to a client on WhatsApp, email or DM. See Sharing and using files.
- Snippets and templates: upload brochures you send often once and reuse them. See Templates and snippets.
- Contact record: note where a vendor's documents are in the contact's notes, so the team finds them easily. See Contact detail page.
The listing links the assistant sends on WhatsApp during a call come from the portfolio list our team prepares during setup; changing a file in Media Storage doesn't update what the assistant knows. Send new listings and price changes to your consultant: WhatsApp listing links and Listing knowledge.
Deleted files
Deleted files usually go to a bin first and stay there for a period, during which you can restore them. After that they're permanently deleted. If you delete an important file by mistake, message your consultant straight away.
Note
Storage space and file size limits depend on your plan. Compress long video tours before uploading; if you have a question about limits, ask your consultant.
