Listing knowledge
How the assistant knows your listings, how it suggests them to callers, and what to do when your portfolio changes.
3 min read
The most valuable thing the assistant does is describe a listing you actually have. For that, your listings are loaded into the assistant during setup. It searches them using the caller's criteria, briefly describes the best one or two, and doesn't reel off details nobody asked for.
What the assistant knows
- Open the assistant from AI Agents → Voice AI → Agent List and go to the Knowledge Base section.
- You'll see the sources the assistant uses: your listings file, office information and FAQ (address, opening hours, areas covered, practical details like parking) and, if available, your website.
For each listing the file holds: listing code, sale or rent, district and neighbourhood, type, rooms, m², price, floor, service charge, heating, gated complex or not, key features and the listing link.
Note
There is no ready-made integration with property portals. Our team loads your listings into the assistant during setup, and updates go through your consultant.
How it suggests listings
The assistant searches with the caller's criteria (sale/rent, area, type, budget, rooms) and:
- Briefly describes two or three listings within budget at most: "We have two in that range: one in a gated complex in Moda, one in a new build in Fikirtepe."
- Gives details when asked: service charge, floor, heating, parking.
- Says so honestly when nothing fits and notes the criteria: "We don't have a 3+1 in Moda at that budget right now. Let me note what you're after so an agent can call when one comes in."
- Never makes things up: "Our agent will confirm the title deed status for you."
Example:
Ahmet Demir: Do you have a 3+1 in Kadıköy up to 15 million?
Elif: We have two in that range: one in a gated complex in Moda, one in a new build in Fikirtepe. Which shall I tell you about?
Ahmet Demir: The Moda one. Does it have parking?
Elif: It has one space in a covered car park. The service charge is four thousand five hundred lira a month. Shall I send you the link on WhatsApp?
What was written to the CRM: note "Described AT-1042 and AT-1057; interested in AT-1042, asked about parking", listing of interest AT-1042.
When your portfolio changes
The assistant is only as accurate as the list. If a sold, let or re-priced listing stays on it, the assistant keeps describing it.
- Don't save changes up; when a listing sells, lets or changes price, message your consultant. Give the listing code and the change: "AT-0931 is let, please remove it."
- For new listings, send the details and the link. Sharing photos through the listing link is enough.
- Your consultant updates the assistant and lets you know.
Tip
Make it a habit to review the listing file once a week, say on Monday morning. Weekend completions are the updates most often forgotten.
Developments and commercial listings
For developers and off-plan sales teams, the portfolio can include unit types (1+1, 2+1, 3+1), blocks, completion date and a summary of the payment plan. For commercial listings (e.g. "Ataşehir office floor, 220 m²") it can include permitted use, parking capacity and rent review terms. You decide what goes in with your consultant during setup.
Common issues
The assistant described a listing that's already sold. The list wasn't updated. Message your consultant with the listing code.
The assistant said "I don't have that information". The detail (e.g. heating type) isn't in the list. If people ask for it often, ask for it to be added.
