AI voice assistant overview
What the assistant that answers your office phone 24/7 does, where it lives in the panel, and who manages what.
3 min read
The AI voice assistant picks up every call to your office on the first ring, works out what the caller wants, and finishes the job by logging the call in your CRM. A call that comes in while you're at a viewing, at the land registry, or at 11:40pm no longer ends in voicemail: the assistant answers, qualifies the caller, describes a matching listing and books the viewing.
What the assistant does
- Answers 24/7. First ring, in or out of office hours. Speaks natural Turkish and English, and stops to listen when interrupted.
- Introduces itself as the office's assistant. "Atlas Emlak, this is Elif, the office assistant." It never poses as one of your agents. Details: Greeting and persona.
- Qualifies the caller. Buyer, seller, tenant or landlord? Then budget, area, number of rooms and timing, one question at a time. See Qualifying callers.
- Searches your listings and briefly describes the ones that fit, without reeling off details nobody asked for. See Listing knowledge.
- Sends the listing link on WhatsApp while the call is still going. See WhatsApp listing links.
- Books appointments. Checks calendar availability and books a viewing, valuation or office meeting. See Booking appointments.
- Transfers to an agent when needed. Calls the agent first, reads a short summary, then connects the call. See Live transfer.
- Logs everything in the CRM. Contact record, custom fields, tags, opportunity, call summary and task. See CRM updates after a call.
Note
The assistant never quotes a firm price. When asked what a property is worth, it explains that the best way to price it properly is for an agent to see it, and offers a free valuation.
Where it is in the panel
- Open AI Agents in the left menu.
- Under Voice AI, the Agent List tab shows your assistants. Most offices have one inbound assistant; if you run outbound campaigns you'll see a second row.
- Click the assistant's name to view its settings (greeting, knowledge, actions, working hours).
The calls themselves (recordings, transcripts and summaries) appear in Conversations and on the contact record. For a full list and totals, use the Dashboard & Logs tab. Details: Call logs and summaries.
Who manages what
The Squaremeters team sets up the assistant: its greeting, voice, script, your listings, phone forwarding, calendar, transfer numbers, CRM mapping and automations. We test it with you before it goes live.
In the panel you listen to calls, read summaries and can change a few settings yourself: small edits to the welcome message, working hours and transfer numbers. Changes to the script, qualification questions or CRM mapping affect how the assistant behaves as a whole, so for those, ask your consultant.
Tip
In the first week, listen to a few calls every day and pass on what you notice to your consultant. It's the fastest way to make the assistant sound like your office. See Testing and tuning.
Inbound and outbound
Most articles in this section cover inbound calls. The assistant can also run outbound campaigns, such as calling new leads back within seconds, confirming appointments and reactivating old contacts. In Turkey, outbound calls require İYS consent and a KVKK privacy notice. See Outbound campaigns and İYS and KVKK.
