Uploading and organising files
Create listing folders in Media Storage, upload photos and documents, and rename, move or delete files.

A tidy Media Storage saves agents from asking "where was the floor plan for the Moda 3-bed?". This article covers creating folders, uploading files and organising them, plus the folder structure and naming rule we recommend for estate agencies.
Creating a folder
- In Media Storage, go to where you want the folder and click New Folder at the top right.
- Name the folder. Suggested format for listings: listing code + area + type (e.g.
ATL-1045 Üsküdar 2+1). - Click Create.
Tip
Use the listing code on the contact and opportunity too (the "Listing of interest" field). One code then takes you from the client record to the media folder and the listing. See Recommended custom fields.
Uploading files
- Open the folder where the files should go. The path at the top confirms you're in the right place.
- Click Upload and choose the type:
- Upload Individual Files: pick one or more files.
- Upload Folder: uploads a folder from your computer with its subfolders — ideal for the folder your photographer sends.
- Upload URL: imports a file from a link.
- Or drag and drop files onto the screen. When the progress bar completes, the file appears in the list.
Supported file types
Common image (JPG, PNG, WEBP), document (PDF, DOCX, XLSX), video (MP4, MOV) and audio files can be uploaded. The size limit per file and total space depend on your plan.
Note
Photos and documents a client or vendor sends on WhatsApp are kept in the conversation. To keep them in the listing folder too, download them from the conversation and upload them to the folder.
Organising files
- Open the three-dot menu on the file.
- Rename it to match your naming rule.
- Move to Folder moves the file elsewhere. Folders can be moved with their contents the same way.
- Delete removes the file.
Preview shows the file without opening it; Download saves it to your computer.
Heads up
Before deleting several files at once, check you're in the right folder. Permanently deleted files can't be recovered.
Suggested folder structure
- One root folder: every listing under
Listings. - One folder per listing:
ATL-1042 Kadıköy Moda 3+1. For developments,PRJ-07 Ataşehir development. - Fixed subfolders:
01_Photos,02_Floor-plans,03_Title-deed-docs,04_Agency-agreement,05_Brochure. Only the listing agent and admins should look at 03 and 04, which hold personal data. - Office folder: general files sent to everyone (office intro, logo, blank agreement templates).
When a property is sold or let, move its folder to Archive-sold-let rather than deleting it, and review the documents when your retention period ends.
Naming rule
We suggest LISTINGCODE_content_detail_LANG.ext:

Putting the listing code first means every file for a listing comes up together in search. Using hyphens (-) and underscores (_) instead of spaces and Turkish characters avoids problems when files are sent as links.
