Automations overview
From appointment confirmations to lead routing, what the automations that finish the assistant's work in the CRM do, and where to find them.

The assistant answers the phone and the bot replies to messages; automations finish the job. The moment a viewing is booked, a WhatsApp confirmation goes out; a reminder follows the day before; a task is created for the agent when a hot buyer comes in; a polite message goes to someone you couldn't reach. Dozens of small jobs your team would otherwise have to remember happen on their own, with the same care every time.
What automations do
Each automation (a workflow in the panel) starts with a trigger and runs its steps in order:
- Trigger: the assistant ended a call, an appointment was booked, a new lead arrived, a
hot-leadtag was added. - Steps: wait, send a WhatsApp, check a condition (did they reply?), create a task, send a notification, assign the contact to an agent, move the opportunity's stage.

Where to find them
- Open Automation in the left menu; the Workflows list appears.
- Click a scenario's name to open it: you'll see its steps, message texts, wait times and history.
- The Status column shows whether a scenario is running: Published means running, Draft means stopped.
Total Enrolled shows how many contacts have been through the scenario; Active Enrolled shows how many are in it right now (for example, at a wait step).
Who manages what
The Squaremeters team builds your automations at setup and tests them with you: triggers, conditions, submitting WhatsApp templates for approval, agent assignments.
What you can do in the panel:
- View scenarios and understand how they work.
- Pause and resume a scenario (Draft / Publish).
- Make careful, small changes to message texts and wait times.
- Check the history: who went through which step, when, and any errors.
For a new scenario, a new trigger or a change to the logic, contact your consultant. Workflows have connected parts; deleting one step can affect another scenario. See Turn on, off and edit.
Important
On WhatsApp, messages your office starts must use an approved template if the contact hasn't written to you in the last 24 hours. Our team submits the templates for confirmations, reminders and follow-ups at setup. Don't change the text of a templated message yourself; see WhatsApp templates.
Example
Ayşe Çelik calls on Tuesday evening; the assistant books a valuation in Kadıköy for Thursday at 15:00. Within seconds she gets a WhatsApp confirmation, the appointment lands in Burak Aydın's calendar and a task is created for him. A reminder goes out on Wednesday at 15:00 and a final one with a location link on Thursday at 13:00. Nobody in the office has to remember a thing.
