Opportunities overview
Learn the difference between a contact and an opportunity, the key terms, and what the assistant writes to your pipeline.

The Opportunities module shows where every buyer, seller and tenant stands, on one board. When the AI voice assistant finishes a call, it creates or updates the opportunity; your agents then move cards from viewing to offer, or from instruction to sale. You can see at a glance who is waiting and how much business is in the pipeline.
Contact vs opportunity
The panel keeps two different kinds of record:
- Contact: the client themselves. Name, phone, tags, custom fields, conversation and call history. There is one record per person.
- Opportunity: one specific enquiry from that person. Which pipeline and stage it is in, its estimated value, the responsible agent and the outcome.
A contact can have several opportunities. For example, Mert Özkan calls to sell his flat in Ataşehir and, on the same call, mentions he is looking for something smaller in Kadıköy. There is still one contact, but two opportunities: one in Sellers, one in Buyers.
Key terms
| Term | Meaning | Estate agency example |
|---|---|---|
| Pipeline | A whole process; an ordered list of stages. | Buyers, Sellers, Lettings |
| Stage | One step in the pipeline; a column on the board. | Appointment booked, Viewing done, Instruction signed |
| Opportunity value | The estimated amount. It adds up in the stage totals. | Expected fee: ₺290,000 |
| Status | The outcome: Open, Won, Lost, Abandoned. | Completion done → Won |
| Owner | The team member handling the opportunity. | Agent Selin Kaya |
The stage shows where the client is in the process; the status shows how it ended. See Stages and status.
During onboarding the Squaremeters team sets up three standard pipelines:
| Pipeline | Stages |
|---|---|
| Buyers | New enquiry → Qualified → Appointment booked → Viewing done → Offer → Completed |
| Sellers | New enquiry → Valuation booked → Valuation done → Instruction signed → On the market → Sold |
| Lettings | New enquiry → Qualified → Viewing → Referencing → Agreement → Let |
The Opportunities screen
- Pipeline selector: switch between Buyers, Sellers and Lettings.
- Board / list view: see cards in columns or as a table. See Views and filters.
- Opportunity card: the client's name, value, source and quick actions (call, message, appointment). The yellow robot icon means the assistant created or moved the card.
- Add opportunity: add a new opportunity by hand. See Add an opportunity.
Each column header shows how many opportunities are in that stage and their total value. A look at the Appointment booked and Offer columns on Monday morning is enough to set the week's priorities.
What does the assistant write?
When a buyer looking for a 3-bed flat in Kadıköy calls at 10:40pm, Elif qualifies them, describes the Moda listing and books a viewing for Saturday. When the call ends, the opportunity is ready:
- Opportunity details: the right pipeline and stage (here Buyers → Appointment booked), the owner and the source.
- Call summary: the listing they liked, the questions they asked, their mortgage position.
- Task: a "call before the viewing" task for the agent.
If the contact already has an open opportunity, the assistant updates it instead of creating a new one. Which call outcome goes to which stage is agreed during setup. See CRM updates after a call.
Note
Opportunities don't only come from the assistant. They can also be created from Meta lead forms, WhatsApp and Instagram chats, or by hand. The Squaremeters team configures these automatic flows during setup.
Why use it?
- Nobody falls through the cracks: no more "did we call them after the viewing?"; the client waits in whichever column they are in.
- Team visibility: the owner field shows who is handling which client.
- Forecasting: the totals of Offer and Instruction signed show the fees you can expect in the coming weeks.
- Loss analysis: you can report on why opportunities are lost (budget, mortgage, another agency).
