Bulk actions on opportunities
Select several opportunities in list view and change stage, status and owner in one go, or clean up stale deals.

Dragging cards one at a time is fine when you have a few dozen opportunities. But when you need to hand over 40 clients from an agent who is leaving, or close deals that have been silent for months, bulk actions save time. They are done in the list view of the Opportunities screen.
Before you start
- You need permission to edit opportunities. If you only see opportunities assigned to you, bulk actions only cover those. See Restrict data access.
- Build the right list first: set your filters and check the result count. See Views and filters.
Select opportunities
- Switch to list view and tick the boxes on the left of the rows. The box in the header selects every opportunity on that page; for more, increase the rows per page or narrow the list with a filter.
- Pick an action from the bar that appears above the table: Edit (bulk edit) or Delete (bulk delete).
Bulk edit
- Pipeline and stage: to move opportunities to another stage or pipeline, tick Pipeline and Stage and pick the new values.
- Status: pick Open, Won, Lost or Abandoned in Status. If you choose Lost, fill in Lost reason too.
- Owner: pick the agent the opportunities should go to in Owner.
- Click Confirm. Only the fields you ticked change.
The action runs in the background. You can follow its progress on the Bulk Actions page in the Contacts menu. See Bulk actions.
Available actions
| Action | How | Example |
|---|---|---|
| Change stage / pipeline | Edit → Pipeline, Stage | Moving tenant enquiries that landed in the wrong pipeline to Lettings. |
| Change status | Edit → Status (+ Lost reason) | Marking buyers silent for 90 days as Abandoned. |
| Change owner | Edit → Owner | Handing over an agent's clients while they are on leave. |
| Delete | Delete | Test records, opportunities imported by mistake. |
| Export | ⋮ menu at the top right, or the saved list's menu | Downloading a filtered list as CSV for the monthly meeting. |
Note
Tags belong to the contact, not the opportunity. To add or remove tags in bulk, use bulk actions on the Contacts screen. To message these contacts in bulk, see Bulk messaging.
Heads up
Bulk delete may not be reversible. Export the list as CSV before deleting and double-check the selected count. Deleting an opportunity doesn't delete the contact.
Example 1: changing agents
Emre Yılmaz is off for a month; Selin Kaya will take over his open deals in Lettings.
- In the Lettings pipeline, apply Owner is Emre Yılmaz and Status is Open.
- Select all rows → Edit → Owner: Selin Kaya → Confirm.
So that new appointments the assistant books for these clients go to Selin as well, update the team settings on the calendar. See Team calendars.
Example 2: cleaning up stale deals
Open opportunities nobody has touched for months inflate the pipeline value on your Dashboard. Clean up once a month:
- Apply Status is Open and last updated more than 90 days ago.
- Go through the list and set aside anything still promising.
- Select the rest → Edit → Status: Abandoned → Confirm.
Abandoned opportunities aren't deleted. If these clients have given consent, you can have the assistant call them in a re-engagement campaign. See Outbound campaigns.
Troubleshooting
I can't see the Edit button. Make sure you're in list view and have selected at least one opportunity.
"Select all" only selected one page. The header box selects the visible page. Increase rows per page or repeat page by page.
Some opportunities weren't updated. If the target stage belongs to another pipeline, you need to change the pipeline as well.
