Views and filters
Switch between board and list view, and use filters, sorting and saved lists to focus on the right opportunities.
3 min read
With the assistant creating opportunities day and night, your board fills up fast. Views, filters and saved lists let each agent look only at their own clients, and the broker only at the deals that matter.
Board or list?
| View | When to use it |
|---|---|
| Board | Day-to-day work. Dragging cards and spotting where work piles up. |
| List | Bulk actions, comparing and exporting. Going through many opportunities row by row. |
- Click the list icon in the view toggle to switch to the table. Click the board icon to go back.
- Narrow the opportunities down with Advanced Filters.
- Choose an order with Sort: for example highest value or most recently updated.
- Type a client's name, phone number or opportunity name in the search box to find a single record.
- To save the view you've set up, use + List next to the tabs.
Add filters
- Pick a condition: a field (for example Status), an operator (is) and a value (Open).
- Add more conditions with Add filter. All conditions apply together.
- Click Apply.
Filters estate agencies use a lot:
- Status is Open: live deals only.
- Owner is [agent]: one agent's book.
- Opportunity source is "Inbound call · AI": opportunities brought in by the assistant.
- Stage is Appointment booked: buyers with a viewing coming up.
- Stage is Offer + last updated more than 7 days ago: clients waiting at the offer stage with no follow-up.
Tip
You can filter on custom fields too. For example "Area = Kadıköy" gives the list for the agent covering that area.
Saved lists
You can save filter and sort combinations you use often as a list. Saved lists appear as tabs at the top of the screen.
- Set up your filters and sorting.
- Click + List and choose List view or Board view.
- Give it a clear name, for example
My open dealsorFrom the assistant. - Click Save.
From a saved list's menu you can duplicate it, export it as CSV, share it with colleagues or delete it.
Note
A shared list never goes beyond a user's access rights. An agent who can only see their own opportunities will only see their own records in a shared list. See Restrict data access.
A suggested set of views
| View name | Filter | Who uses it |
|---|---|---|
| My open deals | Owner = me, Status = Open | Every agent |
| From the assistant | Source = Inbound call · AI, last 7 days | Broker, office assistant |
| Offers waiting | Stage = Offer, not updated for 7+ days | Broker |
| Valuations this week | Sellers, Stage = Valuation booked | Agent handling sellers |
| Lost this month | Status = Lost, this month | Broker |
Troubleshooting
I can't see an opportunity. Check the active filters and the selected pipeline. Your role may also only show opportunities assigned to you.
The total value looks different. The total at the top of the board is calculated from the filters applied.
