Welcome to Squaremeters AI

What Squaremeters AI is, how its AI agents work in your office, how setup works and how to use this Help Center.

5 min read

Squaremeters AI is an AI agent platform built for estate agencies, property consultants and off-plan sales teams. A voice assistant that answers your phone around the clock, a chat assistant that replies on WhatsApp and Instagram, and automations that handle everything from appointments to follow-ups all work together in one panel. Everything these agents do is recorded in the CRM underneath: who called, what they wanted, which listing they looked at and which agent they're meeting.

In this article we cover the parts of the product, how a single call shows up in the panel, how setup works and how to use this Help Center.

AI agents first

In Squaremeters AI the AI agents start the work, and the CRM makes sure none of it gets lost.

AgentWhat it does for your office
AI voice assistant (Voice AI)Answers the office line on the first ring and speaks Turkish and English. It works out whether the caller is a buyer, seller, tenant or landlord; asks about budget, area and number of rooms, finds a matching listing, sends the link on WhatsApp and books a viewing or valuation in the calendar. Hot leads are transferred live to an agent. See Voice assistant overview.
Conversation AIReplies in writing on WhatsApp, Instagram DM, Facebook Messenger, website chat and SMS. An agent can approve each reply first (suggestive mode), or it can reply on its own (auto-pilot mode). See Conversation AI overview.
AutomationsWhatsApp confirmations after booking, reminders before appointments, follow-up messages based on the call outcome, routing leads to the right agent and creating tasks. See Automations overview.

The assistant always introduces itself as the office's assistant ("Atlas Emlak, this is Elif. How can I help you?"); it never pretends to be one of your agents. It doesn't quote exact prices: for an accurate figure it offers a free valuation appointment instead.

How a call shows up in the panel

The easiest way to understand the product is to follow one call. Example: at 23:40, Ahmet Demir calls your office asking about 3-bed flats for sale in Kadıköy.

Voice AI

Atlas Emlak, this is Elif. How can I help you?

I'm looking for a 3-bed flat for sale in Kadıköy.

We have a 145 m² 3-bed in a gated complex in Moda. Shall I send the link on WhatsApp?

Call summary + recording
The path of an inbound call: the assistant answers, understands the need, searches the listings, books a viewing and records the result in the CRM.
  1. The call comes in; even though the office is closed, the assistant answers on the first ring.
  2. The assistant works out that Ahmet is a buyer and asks about his budget, area and number of rooms.
  3. It finds the 145 m² 3-bed in a gated complex in Moda, describes it briefly and sends the link on WhatsApp.
  4. It checks the free slots in the calendar and books a viewing with Selin Kaya for Saturday at 11:00. Had Ahmet asked to speak to an agent straight away, the assistant would have transferred the call live.
  5. When the call ends, everything goes into the CRM: a contact record with tags in Contacts, an opportunity at the "Appointment booked" stage in Opportunities, the recording, transcript and summary in Conversations, and a task for Selin.

When you arrive the next morning, you don't need to listen to the call; reading the summary is enough. For details see How a call works.

The CRM: where the work gets finished

The assistants need a well-organised CRM behind them. In the left menu of the panel you'll see these modules: Dashboard, Conversations, Calendars, Contacts, Opportunities, AI Agents, Automation, Reporting, Media Storage and Settings. We explain what each one does in an estate agency in Navigation and search.

Your consultant

Squaremeters

Dedicated consultant

Your single point of contact for listing updates, new scenarios and change requests.

What we need from you

  • Current listings
  • Team and working hours
  • Time to test together
The setup process: kick-off, listings and scripts, phone-calendar-CRM setup, testing together and go-live. Your dedicated consultant on the right.
  1. Kick-off call: We learn about your office, your team, your working hours and how you handle clients.
  2. Listings and scripts: Your listings are loaded into the assistant; the greeting, the questions to ask and the transfer rules are written.
  3. Phone, calendar and CRM: Call forwarding, calendars, pipelines, custom fields and ready-made automation scenarios are set up.
  4. Testing together: We try the assistant with you using test calls and fix any phrasing you don't like.
  5. Go-live: With your approval, real calls are forwarded to the assistant.

Every client has a dedicated consultant. For listing updates, new scenarios or a change of transfer number, your consultant is the first port of call. Wherever this Help Center says "message your consultant", it's a setting that could affect your calls if changed incorrectly.

Tip

The most important thing our team needs from you for setup is an up-to-date list of your listings. To prepare, read Portfolio preparation.

How to use this Help Center

  • Sections: Articles are grouped by module: Voice assistant, Conversation AI, Automations, Inbox, Contacts, Opportunities, Calendar and more. Ready-made estate agency setups are in Playbooks.
  • Search: Type your question in the search box at the top ("live transfer", "forwarding", "viewing").
  • Panel labels: The panel shows English labels, and we write menu paths exactly as you'll see them: AI Agents → Voice AI. If any terms are unfamiliar, see the Glossary.
  • Visuals: Numbered markers in the visuals match the numbered steps in the text.

If something doesn't work as expected, check the FAQ first; if you can't find an answer, message your consultant or our support team. Including a screenshot and the name of the contact involved speeds things up.

Where should I start?

  1. Log in and complete your profile: First login and a first look.
  2. Plan your first week day by day: First-week checklist.
  3. Get to know your assistant with a test call: Testing and tuning.
