Web forms and webhooks
How leads from your website enquiry forms and other systems reach the panel, and how the assistant calls them back.

The "Call me back" form on your website, the enquiry form on a development page or another system you use (e.g. a quote tool) all bring in leads. Left sitting in an email inbox, they go cold. Once connected to the panel, they behave like Meta forms: a contact and opportunity are created and, with consent, the assistant calls within seconds.
The Squaremeters team sets these connections up during setup and tests them. Your part is to tell us which forms you have and make sure each asks for the right consent.
Two kinds of connection

We decide together which to use, based on how your site is built. As a user you see the same result either way.
What the form should look like
- Enquiry fields: name and phone are essential. A few short questions — "What are you looking for?" (to buy / to rent / to sell my home), area, bedrooms or budget — let the assistant start the call well prepared. These fields map to the custom fields in the "Property enquiry" group.
- Two separate consents: one box confirming they've read the KVKK privacy notice, and one agreeing to receive commercial messages by phone/WhatsApp. Don't pre-tick boxes.
Important
The assistant needs explicit contact consent to call someone from a web form; in Turkey, commercial calls require İYS consent and a KVKK privacy notice. Leads from forms without a consent box aren't called by the assistant; an agent task is created instead. See İYS and KVKK.
How a lead reaches the panel
- The connection: the details are passed to the panel the moment the form is submitted. Our team sets this up, tries it with a test lead and shows you.
- Contact and opportunity: a contact record is created (or updated if the phone number already exists), the source is recorded as "Web form", an opportunity opens in the right pipeline and tags are added (e.g.
buyer). - First contact: with consent and within calling hours, the assistant calls back; without consent, or if the client chose to message, a WhatsApp welcome template goes out or an agent task is created. See Lead routing and tasks.
What you see on the contact record
- Activity history: the form submission, the opportunity, the assistant's call and any appointment, in order.
- Property enquiry: the answers from the form in their fields.
- Consent: the contact consent and privacy notice fields. These decide whether the assistant calls.
Example: at 6:42pm Mert Özkan fills in your website form: to buy, Kadıköy, 12–15 million TL. The consent box is ticked. 36 seconds later Elif calls, clarifies what he's after, sends two listing links on WhatsApp and books a Saturday 11:00 viewing with Selin Kaya.
New forms and changes
- If you add a new form to your site or a question to an existing one, tell your consultant. The new field needs mapping; otherwise the answer shows up empty in the panel.
- If your web agency is rebuilding the site, let us know in advance; the webhook connection may need moving.
- If submissions stop arriving, first check the form works on the site, then message your consultant. See Integration troubleshooting.
Tip
To keep the campaign for people who come from ads, make sure your Google and Meta ads land on a page with a panel-connected form. See Attribution report.
Common issues
The form was filled in but the contact isn't in the panel. The form may be on an unconnected page, or a site update broke the connection. Send your consultant the form's address and the submission time.
The contact arrived but the assistant didn't call. The consent field may be empty, it may be outside calling hours, or the person previously asked not to be called.
The same person came in twice. The phone number may be written differently (with a leading 0 or +90). Merge the records: Duplicates and merging.
