Connect Google and Outlook

Connect agents' Google or Outlook calendars so external commitments block the times the assistant offers.

If your agents keep land registry appointments, bank meetings and personal commitments in Google Calendar or Outlook, connecting those calendars to the panel prevents double bookings. Busy time in the external calendar is automatically blocked on the booking link and in the times the assistant offers on the phone.

Key terms

  • Connected calendar: the Google or Outlook account you've given the panel access to.
  • Linked calendar: the external calendar the panel's appointments are written to. Agents see their appointments in their phone's calendar app.
  • Conflict calendars: the calendars checked for availability. Busy time here is not offered to clients or by the assistant.

Settings → Calendars → Connections: connected account, linked calendar and conflict calendars.
  1. Go to the Connections tab under Settings → Calendars.
  2. Click Add New, choose Google or Outlook, sign in and approve the requested permissions.
  3. In Linked calendar, choose the calendar the panel's appointments should be written to (usually your work calendar).
  4. In Conflict calendars, tick the calendars to check for availability, for example both your work and personal calendars.

Syncing starts once the settings are saved.

Tip

Mark your personal calendar as a conflict calendar too. Event details are never shown to clients or the assistant; the time simply shows as busy.

Two-way sync

  • Panel → Google/Outlook: appointments booked by the assistant or a client appear as events in your linked calendar. When the agent checks their phone in the morning, they see the Saturday 11:00 viewing.
  • Google/Outlook → Panel: busy events in your external calendar block that time in the panel.

Note

Only events marked Busy block time. An event marked Free doesn't stop bookings.

Heads up

If several users pick the same external calendar as their "linked calendar", you can end up with duplicate events. Each agent should connect their own calendar.

Example

Selin Kaya added a title deed transfer from 13:00 to 15:00 on Thursday to her Google calendar as "Busy". Because her calendar is connected, when a buyer calls about the Moda listing that day the assistant doesn't offer 13:00 or 14:00; it asks "Would Thursday at 11:00 or 4pm work?"

Troubleshooting

An external event doesn't block the time. Check that the event is marked Busy and the calendar is ticked in Conflict calendars.

Appointments are an hour out in Google. The time zone in your panel profile and your Google calendar differ. Set both to Europe/Istanbul. See My profile.

The connection dropped on its own. A password change or revoked permission breaks the connection. Reconnect the account in the Connections tab.
